§ 01 / WHAT WE BELIEVE

Everything in reach,
nothing exposed.

01 · UNIFIED

One place for the team.

Your tools, documents, automations and AI in one place. The portal is the only thing your team has to learn - everything we’ve built or connected sits behind it.

02 · ROLE-AWARE

Users see what they should.

Access is granular and per-user. A floor supervisor sees their shift’s flows; the CFO sees finance approvals. Same portal, different surfaces.

03 · AUDITED

On the record, ready for review.

Every action is logged. A built-in reviewer watches the stream and flags anything that looks off - before it becomes a question you can’t answer.

04 · GUARDED AI

AI on guardrails, per user.

Your own AI by default, with no per-user limits. External AI is available where you want it - with sensible spending caps, sensitive-data redaction, and a review pass on what goes out.

§ 02 / PORTAL AS PLATFORM

Three things,
one surface.

Most teams use the portal in three modes: ask things, oversee things, reach for tools. Each one is scoped to that user’s rights and logged the same way.

Mode · 01

AI helpdesk.

Local LLMs · cited answers · scoped per user

A built-in chat agent that talks to the documents and data each user is allowed to see. Answers cite their sources.

For · anyone with a question and a deadline
Mode · 02

Run & oversee automation flows.

Inbox · approvals · manual starts · live status

Automations deliver results to your inbox, request your sign-off when needed, and surface live status when something needs attention. Start a manual workflow on demand. Watch the queue in real time. Drill into the full history of anything that ran.

For · operators, approvers, managers
MODE · 03

Support

Custom extensions · standard toolkit · external AI on rails

Bespoke tools we’ve built for your business sit beside the standard Systm toolkit - search, OCR, calendar, etc . External AI providers are accessible via user-configured guardrails, with usage ceilings and redaction at the boundary.

For · technical users and power operators
§ 03 / HOW STRATEGY UNFOLDS

Built to your shape.
Maintained by us.

We host and maintain the portal interface. The engine behind it - automations, your own AI, your data, bespoke tools - is licensed to you and runs on hardware you control.

STEP · 01

Scope

WORKSHOP

A working session with your team to map who needs what. Roles, rights, integrations to wire in, custom tools worth building first. The brief comes out of the room, not a template.

STEP · 02

Configure

STANDARD BUILD

The portal stands up on standard SAAS rails — same backend everyone runs, same audit pipeline, same upgrade train. Configuration covers branding, navigation and your initial user/role matrix.

STEP · 03

Wire

INTEGRATIONS

We connect it to your data — Microsoft 365, your ERP, document corpora, hardware telemetry, existing automations. Tools you already pay for show up inside the portal instead of beside it.

STEP · 04

Extend

CUSTOM TOOLS

Bespoke extensions specific to your business — the niche calculator, the rate-card watcher, the cold-chain monitor. Built once for you; available to all your flows and agents.

STEP · 05

Operate

SAAS · MAINTAINED

Backend updates roll on a managed cadence. You get new platform features as they ship. Uptime, error rates and audit-agent flags are monitored from our side under SLA.

STEP · 06

Evolve

WELCOME TO SUGGEST

You tell us what’s missing. We add it to the base platform, not just your tenant — so the next team benefits too. Most quarters ship a couple of features from the wider client list.

§ 04 / CONNECTS TO

Standard
capabilities.

These ship with every Systm portal — no consulting hours required. Anything outside this list is added either as a custom extension for you or, if it’s broadly useful, into the base platform itself.

Local chat to corpus

Cited answers, scoped per user, no prompts leave your network.

Inbox

Flow output routed to the right person, tagged by source.

Human-in-the-loop

Approvals queue with priority, reasoning and one-click sign-off.

Manual flow launcher

Kick anything off on demand — same backend, same audit log.

Live flow status

Every automation, its last run, next run, and current state.

Full run history

Drill into any flow run: inputs, outputs, every step, every decision.

Custom extensions

Tools we’ve built specifically for your business, available to all your flows.

Local AI · unlimited

Nemotron, Qwen and others on your hardware. No per-token meter.

External AI on rails

Anthropic / OpenAI / Mistral, with redaction, ceilings, classification.

Per-user policy

Token budgets, model access, action rights — all configured by user.

Audit agent

Built-in reviewer scans every interaction for issues, in real time.
§ 05 / FAQ

Questions,
answered.

The honest version. If your question isn’t here, send it our way, we’ll answer it the same way.

01
What’s SAAS here and what’s licensed?

The portal interface is SAAS — we host it, maintain it, ship features against a managed roadmap, monitor uptime under SLA. The Systm solution behind it (the automation engine, local models, vector stores, custom tools) is licensed to you and runs on hardware you control. The portal is the front door; the engine room is yours.

Every user belongs to one or more roles. Roles compose policies for: which corpora they can chat with, which flows they can see / start / approve, which tools they can call, which AI models they can use, and what their token ceiling is. Access is enforced at the backend, not just hidden in the UI - a user who shouldn’t see a flow genuinely can’t reach it.

Your data - documents, embeddings, conversation history, flow state - lives on your hardware inside your network. The portal interface talks to that backend over a secure channel. Nothing crosses the boundary except the things you’ve explicitly wired to external services (and those are redacted and audited at the boundary).

Yes. Custom extensions are how most clients shape the portal to their business. We build them on the same toolkit our standard tools use, so they get the same audit, observability and access-control treatment for free. Your engineers can also build them - the SDK is part of the licensed solution.

Exactly that. If you spot something missing from the standard toolkit, tell us. We track suggestions across the client list and ship the broadly-useful ones into the base platform - so the feature you asked for next quarter is something every Systm tenant gets to use. The platform improves because of the operators who use it daily.
